Senior Client Administrator
Main purpose of the role
To manage and administer a portfolio of clients, delivering a consistently high level of service while ensuring full compliance with all relevant legislation and internal procedures. The role involves regular liaison with banks, brokers, and other third parties, as well as mentoring junior team members where appropriate.
Duties and responsibilities
Core responsibilities
• Maintain a thorough understanding of each client within your portfolio, including their structure and any applicable jurisdictional or regulatory requirements
• Respond to client requests and ad hoc enquiries efficiently and professionally, ideally within 48 hours
• Manage and prioritise workload effectively, adjusting to shifting priorities as necessary
• Monitor and follow up on ongoing matters, ensuring they are completed or resolved in a timely manner
• Communicate using a solutions-based approach when engaging with clients, peers, and colleagues
• Ensure full adherence to internal policies and procedures
• Keep up to date with relevant legislative changes and communicate key updates to clients and colleagues in a clear and concise manner
• Ensure statutory compliance for all entities within your portfolio, including the filing of annual returns and maintaining good standing
• Support the team with ad hoc projects as required
• Monitor client debtors, assist with invoicing, and review cash flow in accordance with set deadlines
• Draft and finalise board minutes, resolutions, and meeting agendas as required
• Accurately record billable time on a weekly basis, ensuring timely and precise billing
• Complete annual compliance reviews and address any outstanding action points
• Understand financial statements and work to resolve any outstanding queries to facilitate the finalisation of accounts and timely completion of tax returns
• Ensure all deadlines related to transactions, compliance, and financial matters are met
• Maintain accurate and orderly client files
• Confidently use all relevant systems, ensuring that client data is current and complete
